Executive Assistant

Job description

We are seeking an experienced executive assistant to work alongside a Managing Director and become an important part of a fast growing team. This person will be expected to perform a variety of tasks, and handle more urgent requirements. An ideal candidate is responsive, thoughtful, self-directed, positive, and seeking a challenging role.

Responsibilities:

  • Maintain the executive’s agenda and assist in planning appointments, board meetings, conferences etc.

  • Manage and maintain schedules accurately.

  • Receive and screen phone calls and redirect in a proper way.

  • Write an accurate meeting minutes.

  • Handle and prioritize all outgoing or incoming correspondence (email, letters, packages etc.)

  • Effectively coordinate travel arrangements.

  • Handle confidential documents ensuring they remain secure.

  • Support in HR and recruitment efforts.

  • Maintain electronic and paper records ensuring information is organized and easily accessible.

  • Conduct research and prepare presentations or reports as assigned.

  • Support in developing processes and internal policies.

  • Track and help drive completion of key deliverables and follow up on outstanding items.

  • Act as a liaison for direct reports, coordinate team activities, and manage other key administrative activities for the team as needed.

Job requirements

  • Candidates must have 3+ years of Executive or Personal Assistant.
  • Self-motivated, proactive, and forward-thinking.
  • Confident personality and capable of being persistent.
  • Advanced knowledge of Microsoft office programs.
  • Extremely detail oriented and organized.
  • Maintain a positive attitude and willingness to work with all team members.
  • Excellent written and verbal communication skills (both English & Arabic).
  • Must be able to effectively communicate with all levels of internal and external contacts.
  • Ability to work independently and multi-task in a fast-paced team environment.
