We are seeking an experienced executive assistant to work alongside a Managing Director and become an important part of a fast growing team. This person will be expected to perform a variety of tasks, and handle more urgent requirements. An ideal candidate is responsive, thoughtful, self-directed, positive, and seeking a challenging role.
Maintain the executive’s agenda and assist in planning appointments, board meetings, conferences etc.
Manage and maintain schedules accurately.
Receive and screen phone calls and redirect in a proper way.
Write an accurate meeting minutes.
Handle and prioritize all outgoing or incoming correspondence (email, letters, packages etc.)
Effectively coordinate travel arrangements.
Handle confidential documents ensuring they remain secure.
Support in HR and recruitment efforts.
Maintain electronic and paper records ensuring information is organized and easily accessible.
Conduct research and prepare presentations or reports as assigned.
Support in developing processes and internal policies.
Track and help drive completion of key deliverables and follow up on outstanding items.
Act as a liaison for direct reports, coordinate team activities, and manage other key administrative activities for the team as needed.
